Donor Privacy Policies
Active Heroes is committed to respecting the privacy of our donors. We have developed this privacy policy to ensure our donors that donor information will not be shared with any third party.
Awareness. Active Heroes provides this Donor Privacy Policy to make you aware of our privacy policy, and to inform you of the way your information is used. We also provide you with the opportunity to remove your name from our mailing list, if you desire to do so.
Fundraising Policy. Funds shall be solicited in a respectful manner and without pressure. All third parties not directly affiliated with Active Heroes who wish to solicit funds on behalf of the agency must acquire written permission from the Active Heroes development office prior to beginning any fundraising activities. Donor-designated restrictions on contributions shall be honored. The Active Heroes is a non-profit 501(c)(3) organization and contributions made to the agency are tax deductible to the fullest extent of the law. Written tax receipts shall be issued for all donations. If the donor receives anything in exchange for their donation, such as a dinner or event admission, the tax receipt shall clearly state what portion of the donation is tax deductible. At the beginning of each calendar year, Active Heroes shall provide its donors with written documentation of all tax deductible gifts received during the prior calendar year.
Donor Privacy Policy. Any information supplied to Active Heroes by donors will be used solely to fulfill their donation and shall not be shared for any reason unless permission is granted by the donor to share such information. All requests to remain anonymous shall be honored. Active Heroes does not sell or share donor lists. Donors who supply Active Heroes with their postal address or email address may be contacted periodically for solicitation purposes and/or with information regarding upcoming events. All donors have the option of being placed on a “once- a-year” mailing list which grants Active Heroes’ permission to contact them only once per year. Donors may request to be permanently removed from Active Heroes’ mailing list by contacting us via email, phone or postal mail. All requests to be removed from Active Heroes’ mailing list shall be honored. Donors who supply Active Heroes with their telephone number shall only be contacted by telephone regarding donations they have made. Active Heroes does not participate in telephone fundraising activities.
Information Collected. Here are the types of donor information that we collect and maintain:
contact information: name, organization/church, complete address, phone number, email address; payment information: credit card number and expiration date, and billing information; shipping information: name, organization, complete address; information concerning how you heard about Active Heroes; information you wish to share: questions, comments, suggestions; and
your request to receive periodic updates; e.g., to individuals who request it, we will send periodic mailings related to specific fund-raising appeals, program opportunities, and newsletters. How Information is Used. Active Heroes uses your information to understand your needs and provide you with better service. Specifically, we use your information to help you complete a transaction, communicate back to you, and update you on organization activities. Credit card numbers are used only for donation or payment processing and are not retained for other purposes. We use the comments you offer to provide you with information requested, and we take seriously each recommendation as to how we might improve communication. No Sharing of Personal Information. Active Heroes will not sell, rent, or lease your personal information to other organizations. We assure you that the identity of all our donors will be kept confidential. Use of donor information will be limited to the internal purposes of Active Heroes and only to further the ministry activities and purposes of Active Heroes. Removing Your Name From Our Mailing List. It is our desire to not send unwanted mail to our donors. Please contact us if you wish to be removed from our mailing list.

Social Media Policies
Creation of new Active Heroes-affiliated event/program pages:
Any social media pages, groups, or accounts created that contain Active Heroes trademarks, event name, or program name must have at least one (1) Active Heroes executive staff member as an administrator. For any pages, groups, or accounts on social media platforms that have a single login only, the username and password must be provided to Active Heroes.
Creation of pages containing Active Heroes trademarks without approval is a violation of this policy.
Content Moderation:
Active Heroes encourages the open sharing of ideas, stories, and other content that supports our mission in a positive way.
Active Heroes has a national following and donor base, working with individuals, companies, and like minded organizations coast to coast. To protect Active Heroes brand integrity, we reserve the right to moderate social media content on all pages, groups, and accounts using our trademarks.
We reserve the right to delete content that is:
- Promotional material for non business and charity partners, GoFund me accounts or other non Active Heroes fundraisers
- Profane, obscene, inappropriate, or disruptive
- Sexually explicit, indecent, or pornographic
- Threatening, personal attacks, derogatory or inflammatory content
- Hateful speech regarding age, race, nationality, gender, religion, sexual orientation, or disability
- False, inaccurate, defamatory, or libelous
- Spam, content containing links to viruses, malware or spyware
- Illegal or Promoting Illegal Activities

Promotion of outside content:
The only events, programs, or campaigns that may be promoted on Active Heroes assets are those trademarked by us, or those that have been approved by our staff.

Merchandise & Promotion
Merchandise and Promotional Policies for Participants, Teams and Businesses
**EVENT refers to: Carry the Fallen, Stand at Attention Competition, WOD to End Veteran Suicide
1.) EVENT is a trademarked phrase exclusively for Active Heroes, a 501c3 charity.
2.) The EVENT logo is the only approved logo for the EVENT event, promotion, merchandise or other uses regarding the EVENT.
3.) Anyone selling merchandise for donations or distributing promotional materials with the trademark EVENT must get approval from the Active Heroes Board of Directors. The design must be approved, the amount an item is sold and the donation amount must all be approved. Contact info@ActiveHeroes.org if you are wanting to sell or distribute Carry the Fallen or Active Heroes merchandise. Active Heroes requires any companies or individuals selling merchandise with approved trademarks including but not limited to Carry The Fallen to sign an agreement.
4.) Any individual or company that has sold merchandise for the EVENT before July 18th, 2014 with the previous logo, slogans or trademarks will need to contact Active Heroes to inform us on the amount of merchandise still in stock. Previous made merchandise stock can be sold as long as the donation is made exclusively to Active Heroes but approvals from Active heroes are mandatory. Large stocks of previous merchandise especially needs to be brought to the attention of Active Heroes.
5.) Merchandise sold by anyone or company can not be an exact copy of any shirt in the Active Heroes store. This includes but not limited to team shirts that have sponsors on the back. All shirts must get approval from Active Heroes Board of Directors.

6.) The EVENT logo or name can not be promoted with any organization, charity, institution or company without the consent of Active Heroes. This includes but not limited to use of the logo on banners, web promotion, social media, shirts or other merchandise. Email Info@ActiveHeroes.org for Board of Directors approval.
7.) Businesses, Participants or teams in the EVENT are allowed to sell merchandise or purchase merchandise for their events as long as it includes (displays) the new approved EVENT logo visibly on the merchandise. The most common area for shirts is the sleeve. All merchandise for teams and participants has to be approved by the Active Heroes board as described in policy #3 including amounts an item is sold and the donation amount.
Event & Program Waiver
Release, Indemnity & Hold Harmless Agreement, Waiver of All Claims and Acknowledgement Read Carefully and Understand Prior to Signing this Agreement and Waiver of All Claims Persons intending to participate (Participants) in a **EVENT NAME** (“Event”), on behalf of or otherwise in the name of Active Heroes Inc. (“Active Heroes”) acknowledge that the Event is a test of an individual’s physical and mental limits and has the potential of personal injury, death and property loss/damage. Participants knowingly represent that they are physically fit and capable of participation in this Event without injury, death or property loss/damage. I, on behalf of myself, my spouse, heirs, executors, administrators and anyone else who might claim or sue on my behalf, hereby assume any and all risk of personal injury, death or property loss/damage resulting from my participation, or otherwise associated with such participation, in any and all activities on behalf of or otherwise in the name of Active Heroes, including but not limited participation in and travel to and from the Event. I ASSUME THE RISKS OF PARTICIPATING IN THE EVENT, including, but not limited to, injuries, contact with other participants, negligence or wrongful acts of myself or any other person or entity, any defects or condition of premises, the effects of the weather including high heat, cold temperatures, storms and/or humidity. I, on behalf of myself, my spouse, heirs, executors, administrators and anyone else who might claim or sue on my behalf, release, indemnify and hold harmless Active Heroes, including its affiliates, successors, assigns, officers, directors, agents, employees, team leaders and vendors, from and against any and all claims, expenses, losses, liabilities, including attorney fees, for injury, death, partial or permanent disability, property loss/damage, economic loss, medical or hospital bills, theft or damages of any kind, arising out of, relating to or incurred in any way whatsoever as a result of my participation in and travel to and from the Event, including but not limited to any injury, death, loss/damage caused by negligence or wrongful acts of myself or any other person or entity. I AGREE NOT TO SUE AND INDEMNIFY AND HOLD HARMLESS ANY AND ALL OF THE ENTITIES AND PERSONS MENTIONED IN THIS PARAGRAPH for any and all of the claims, expenses, losses, and liabilities that I have waived, released or discharged herein. I agree that Active Heroes is not responsible for any personal items or property that are lost, stolen, stained or damaged at or during the event. I consent to emergency medical care and transportation in order to obtain treatment in the event of injury to me as medical professionals may deem appropriate. This Release, Indemnity & Hold Harmless Agreement extends to any liability arising out of, or in any way connected with, the medical treatment and transportation provided in the event of an emergency. I additionally acknowledge and agree to abide by the competitive rules adopted for the Event and agree that prior to participating in the Event, I will inspect the course, facilities, equipment, and areas to be used on my own behalf as I deem appropriate and if I believe any to be unsafe that I will advise the person supervising the Event, course, facilities, equipment or area. I hereby ACKNOWLEDGE AND GRANT PERMISSION for the use of my name and/or likeness relating to my participation in the Event, and I waive all right to any future compensation to which I may otherwise be entitled as a result of the use of my likeness. I have read and understand this document and agree to be bound by the same.
Active Heroes prefers the usage of electronic signatures to complete this agreement. Parties wishing to become a third-party event fundraiser should complete the following form HERE and they will receive an electronic agreement for signing within 2 business days.

Marketing:
All promotion of events with alcohol and tobacco must be professionally executed. The public expects that flyers and other advertisements are not promoting alcohol or tobacco as a main draw to any events. Language such as “Drink for charity” is not acceptable.
Auctions, raffles, giveaways:
Active Heroes allows alcohol or tobacco as auction, raffle or giveaways items as long as they are legal to do so in the state the events are being held. The usage of Active Heroes’ trademarks or logos on alcohol or tobacco items must be approved by the board of directors. Email info@ActiveHeroes.org with a letter and artwork for approval.
Locations:
Active Heroes host many events at our locations throughout each year. We do not have a “lodge” style bar at any location but rarely do serve alcohol at a few events each year including but not limited to dinners and weddings.
Tobacco usage is not permitted indoors at any of Active Heroes’ locations. Designated smoking areas are assigned by signage at each location.
Events:
We allow usage of alcohol at events that is legally executed. Alcohol consumed at public locations without a liquor license is not allowed. Open containers or alcohol in backpacks are not allowed. After parties at designated locations that serve alcohol are allowed only when taxis services, Uber or other designated drivers are set up by the event organizers.
ActiveHeroes.org Email Usage Policy
This policy governs the use of official email accounts owned and administered by Active Heroes, Inc. All email accounts ending in activeheroes.org are the property of Active Heroes, Inc.
Active Heroes provides approved volunteers who have signed volunteer agreements access to email accounts ending in @activeheroes.org for the use of Active Heroes volunteers for official business. We encourage volunteers to use their email accounts to develop their teams, contact fundraisers and spread the word about Active Heroes’ mission!
Volunteers have the right to use official email accounts for the duration of the time they are an active volunteer. Volunteers should not use this email account as a personal email account. Active Heroes has the right to access, modify, or erase content contained within these accounts ending in activeheroes.org at anytime, without any prior notice of the person who’s name is on the account. If a volunteer wishes to discontinue volunteering with Active Heroes, access to the email account will be suspended at that time.
Business Partners:
Active Heroes works well with business partners who want to help veterans and their families. We have sponsorship opportunities that include many benefits including being listed on the charity’s website. If you are looking to donate to Active Heroes, we can set up a meeting with our sponsorship coordinator and executive staff at your convenience.
Foundations:
Active Heroes works with foundations who give grants to charities. We have a number of ways we can work together to support veterans and their families. If you are looking to donate to Active Heroes, we can set up a meeting with our grant writer and executive staff at your convenience.
Organizations wanting assistance to start a charity:
Active Heroes commends other organizations, charities, and fundraising groups for the great work they do to help causes including but not limited to veteran service organizations. Active Heroes is a small charity that works very hard each day to serve veterans and their families. Being that our staff is so limited, we do not have enough time to assist other organizations in their pursuit to help their cause. We aren’t able to show or teach other organizations about how our charity operates, fundraises, plans or facilitates programs and locations. We also aren’t able to share our information to the public. We invite you to do research online about charities or contact a nonprofit lawyer who can steer you in a great direction. We wish you the best in your pursuit.
Charities wanting to partner with Active Heroes:
Active Heroes approves charity partners based upon services they provide. These services and programs must be different than the services and programs that Active Heroes offers and can directly add value to the existing programs that Active Heroes offers. We especially love to partner with non veteran charities wanting to build a partnership to add additional services for military families. If your organization wants to partner with Active Heroes, you must have at least a GOLD rating on guidestar.org. Please send a letter explaining the partnership with financials, audits and annual reports for the last 3 years to info@ActiveHeroes.org.

In many cases, certificates must be used so that the potential winner must go through the legal process to obtain the weapon. Locations:
Active Heroes host many events at our locations throughout each year. We allow concealed weapons as long as the law permits. Only designated employees may have weapons for protection at locations.
Events:
We allow usage of weapons at events that is legally executed as long as Active Heroes has the ability to train participants and/or competition coordinators in suicide prevention . Competitions with weapons must have certified trainers and range guides.
